It is the communication between two or more people and in which it is guaranteed that the message that is sent is delivered, received, and understood in its entirety. That is, it is effective when all the parties (sender-receiver) assign the same meaning to the message and have listened carefully to what has been said and make the sender feel heard and understood at the same time.

Simply sending a message is not enough; it has to fulfill the sender’s purpose, that is, it has to be a credible message. The issuer must also be very clear about what he wants to transmit, he must also know the qualities of the people to whom it is addressed in order to elaborate the message in the best possible way.

An effective message must have the following characteristics:

  • Be clear: it must be simple and straightforward, easy to understand, and located within a systematic framework that is meaningful and maintains its usefulness.
  • Be precise: the message sent must be short, concise, and direct to facilitate the correct interpretation and to be able to take the desired action.
  • Be complete: communication is the basis for decision making, therefore, if it is incomplete it can then generate wrong decisions.
  • Be correct: the information being communicated cannot be vague or false in any sense and must be free of grammatical errors.
  • Be reliable: the sender has to be sure that what he is transmitting is correct. The receiver has to trust both the sender and the received message.
  • Consider the recipient: the media and the physical environment have to be planned very well. Keep in mind the attitude, language, knowledge, level of education, and position of the recipient.
  • The sender must be courteous: the message must reflect the sender’s courtesy, humility, and respect for the receiver.

Elements of effective communication

In effective communication, there are, as in any type of communication, some elements that make it up. Considering all of them is what guarantees the achievement of that effectiveness since by controlling the possible alterations in the transmission of the message, success is achieved.

The elements are as follows:

  • Sender: is the person who prepares and transmits the message.
  • Receiver: is the person who receives and interprets the messages.
  • Message: It is the information that is communicated.
  • Situation: It is the structure or context from where the sender transmits the message and is received by the receiver. This ends up influencing and even conditioning the way in which said message is formulated and the way in which it is interpreted.
  • Code: It is the set of rules and signs that the sender uses when preparing his message and which must also be known by the receiver so that he can interpret it correctly.
  • Channel: It is the transmission medium used by the sender to transmit the message. Normally it is the air in the oral transmission and the paper in the written one.
  • Reference: It is that element, situation, or event to which the message alludes or refers.
  • Noise: any type of alteration or barrier that affects any of the elements that make up the communication and that makes said communication ineffective.

Remember that effective communication is a skill that can be learned and that we are communicating all the time. Hence the importance of doing it very well and effectively.
